In short

  • We collect what you give us (your account, your business profile, listings and messages) and the records of your trading on the exchange.
  • Other members see your business’s directory profile and active listings; your balances, transactions and statements stay within your business, its Barter Coach and exchange staff.
  • BART, the assistant, sends your questions to Anthropic to answer them. It never moves credits by itself: you confirm every payment or charge it drafts.
  • We use sign-in cookies only: no advertising or analytics cookies. We do not sell your personal information.

1. Overview

BarterMax is a trade exchange: member businesses and charities buy and sell with each other in Barter Credits (BC) instead of cash. This policy explains what information the BarterMax app collects, how it is used, who can see it and the choices you have.

By using BarterMax, you agree to the practices described here. If you do not agree, please do not use the app.

2. Information we collect

Information you give us:

  • Your account: your name, email address and password (handled by our sign-in provider; we never see your password), an optional profile picture, and an authenticator app if you set up two-step verification.
  • Your business profile: name, category, city, province or state, description, website, logo, and the offers and needs you list.
  • Marketplace listings and their photos, trade proposals and trade messages, reviews, and the notes, tags, categories and files you add to your transactions.
  • Your conversations with BART, and the thumbs up or down you give its replies.

Records the exchange keeps:

  • The ledger: every payment, charge, trade settlement, refund, donation, fee and adjustment on your accounts, your balances, your credit limit and its history, and your monthly statements.
  • Who did what: the person behind each ledger entry and trade message, and an audit log of every action exchange staff take on a member’s account.
  • Notifications we send you inside the app.
  • Technical data: the cookies described below, and error reports when something goes wrong in the app.

3. How we use it

  • To run the exchange: keep your accounts, post payments, charges and trade settlements, apply your fees, and produce your statements and year-end tax summaries.
  • To help you trade: list your business in the member directory, suggest members to trade with (matching compares the text of offers, needs, listings and profiles), and answer your questions through BART.
  • To keep the exchange safe: verify sign-ins, require two-step verification for exchange staff, limit how often sensitive actions can be repeated, and investigate errors and misuse.
  • To support you: your Barter Coach and exchange staff use your account information to help you and to manage credit limits and disputes.

4. Who can see your information

  • Other members of the exchange see your directory profile (name, member number, logo, city, category, description, website, offers and needs, number of listings, reviews and whether you are verified), your active listings, and your business’s approximate location (to about 1 km) on the member map.
  • A member you trade with sees the trade’s terms and messages, and the payments and charges between your two businesses.
  • People on your team see your business’s accounts and records according to their role (owner, admin, member or viewer).
  • Your BART conversations are private to you: teammates, coaches and exchange staff cannot read them in the app.
  • Your assigned Barter Coach and exchange administrators can see your business’s accounts and records to support you and oversee the exchange. Staff must use two-step verification, and their actions are logged. Staff notes about a member are visible to staff only.

5. Service providers

We use these providers to run the app; each receives only what its job needs:

  • Supabase: our database, sign-in and file storage (logos, pictures, listing photos and transaction files).
  • Vercel: hosting for the web app.
  • Anthropic (Claude): writes BART’s replies and your weekly recap from your question and the account information BART looks up to answer it.
  • Google: Gemini turns the text of listings, offers, needs and business profiles into the numbers matching compares; Google Maps shows the member map when you open it; Google sign-in, if you choose it.
  • Sentry: error monitoring. When it is on, it receives error reports and, for a share of visits, a replay of the page layout with all text masked and images blocked.

Some providers process data outside your province or country, including in the United States. We do not sell your personal information to anyone.

6. BART and matching

BART answers from your business’s own records (balances, transactions, reports, members and listings) and stores each conversation with your account so you can return to it. It can draft a payment, a charge or a change to your offers and needs, but nothing happens until you press Confirm; payments and charges can only be confirmed by an owner or admin of your business.

Matching scores other members on how closely their offers and listings fit your needs (and the other way round), plus location, activity and reputation. A match is a suggestion; every trade is your decision.

7. Security

  • The app is served over HTTPS only.
  • The database checks, on every request, that you belong to the business whose records you ask for, and your role decides what you can change.
  • Credits move only through the ledger’s own database functions; ledger entries cannot be edited or deleted, and a correction is a new entry.
  • You can add an authenticator app under Settings › Security; exchange staff must use one.

No system is perfectly secure. If you think your account has been misused, or you find a security problem, email us right away.

8. Cookies and browser storage

BarterMax uses only the cookies it needs to work:

  • Sign-in cookies that keep you signed in.
  • A cookie that remembers which business you are working in, if you belong to more than one.
  • A cookie that remembers whether the sidebar is expanded.

Your browser also keeps your light or dark theme, and an invitation link while you finish signing up. We use no advertising or analytics cookies.

9. How long we keep it

The ledger is a permanent financial record: its entries, your statements and the staff audit log are kept, including after an account is closed. You can change or remove your profile, offers, needs and listings at any time, and archive BART conversations.

10. Your choices

  • Update your name and picture under Settings › Profile, and your business under Settings › Business profile and Offers & needs.
  • Download your transactions as CSV, and your statements as PDF or CSV, at any time (Settings › Export & account, Reports › Statements).
  • Ask for a copy of the personal information we hold about you, or for a correction, by emailing support.
  • Ask your Barter Coach or support to close your account.
